Online Registration and Housing
Our registration online system allows us to offer clients a complete internet
based registration system for events where registrants can register for the
main event, sub-events, as well as choose from multiple hotels. The registration
form can be tailored to meet client needs and will treat registrants with different
status, such as speakers, according to pre-set rules. This system can be available
either publicly or privately depending on the clients needs.

Payment Processing
Our on-line system, voice response system, and form processing system enables
us to offer clients multiple payment methods such as: real-time credit card
processing, batch credit card processing at specified intervals, invoicing,
purchase orders, and wire transfers. Pre-registered registrants can also
enter a pre-arranged billing code, which they obtain from the responsible
billing party.

Event Website Development
We offer clients the ability to have a stand-alone website for an event which
includes online registration, logon capability, client “look and feel”,
and integration with any other website and database capability.

Menu Driven Voice Response Registration
Our voice response system enables registrants to call a specified phone number
and register for an event using a multi-layered system where they are given
a custom menu of choices featuring event information. Further more the system
allows clients the ability to register for an event using real-time credit
card processing and send instant confirmation. This system can also be set
up event-by-event with unlimited levels, and accept payments, which also
correspond to pre-arranged billing codes. Finally our voice response system
can reference the online registration system address to drive traffic through
that medium.

Processing of Paper-Based
Registration Forms
We have the ability to process any type of registration forms that are mailed
in, faxed, or sent via email. These forms are then entered into the registration
online system via data entry. All data from registrations are entered into
the same database so that reporting is always up to date and accurate.

Sending Out Invitations Via
Email, Fax, and Direct Mail
We have the ability to send out invitations to registrants via Email in either
text or HTML (like a web page) with embedded links that enables the registration
online system to know who registrants are before hand and treat them accordingly.
The registrant does not have to enter a User ID or Password because these are
embedded in the link. The system will also send out invitations via fax to
registrants that do not have an Email address or it can send faxes to everyone.
It also will handle any direct mail invitations that need to be sent. Direct
mail can include links to the online or voice response registration system
to drive registrants to that media.

Surveys and Evaluations (Online
and Onsite)
Surveys can be integrated with the registration online system to be filled
out by the registrant as part of the registration form. Post event evaluations
can be emailed or faxed out via the registration online system, or mailed out
as required. Terminals can be set up onsite for attendees to fill out evaluation
forms at the event.

Main Event and Sub-Event Registration
The registration online system and menu driven Voice Response registration
system can take registrations for various sub-events such as breakout sessions,
golf tournaments, spousal events etc. Payments can be accepted for these
events as well. Limited seating is available in the setup process, though
for the voice response system reservations will only be available on a first-come
first-serve basis. Registrants interested in securing spots in limited seating
sub-events will be directed to the online registration system. Waiting lists
will also be available.

Pre-Registration of Attendees
The registration online system has the ability to upload attendee lists with
User ID’s and Passwords. Invitations are simply confirmations of attendance
with all their information pre-loaded into the system. The Voice Response
system has the capability to accept coded numbers that will allow pre-registered
attendees to register. The same process applies to paper-based or call in
registrants.

Exhibitor Registration and Lead
Tracking
The registration online system has the ability to register exhibitors and have
them choose booth space at events. Graphics such as floor plans can be uploaded
into the online registration system so clients can choose and pay for specific
booth space. They also have the ability to choose from different options offered,
such as electrical hook up, phone lines, floral designs, and etc. The registration
online system also has the ability to integrate lead retrieval systems such
as card scanning machines or magnetic badge scanners. Reports can be generated
and given to exhibitors for review after the event.

Automatic Confirmation Processing
Once an attendee registers for an event through the registration online system,
Voice Response system, Emailed registration system, or onsite a confirmation
will be processed through the phone, fax, email, or website. Invoices will
also be generated automatically if necessary to pre-arranged billing parties
or to individual registrants.

Processing of Changes
and Cancellations
The registration online system and the Voice Response system will allow registrants
to cancel or change their registration as needed. The online system will request
for a User ID and/or Password to accomplish this task. Confirmations of cancellations
or changes will automatically be processed.

Custom Reporting Capabilities
The registration online system will allow custom reporting for clients based
on a relational database at the heart of the system. These reports are available
on an interval basis throughout the event or on request at any time. These
reports are also available through a permission-based system to the actual
client over a secure internet connection.

Onsite Registration Processing
and Badge Printing
The registration online system is available through internet hook up at the
registration booth to as many terminals as needed. Onsite substitutions and
changes can be made on the live master registration system, and badges can
be printed on the spot. Staffing for the event will be provided if needed,
or we will train your staff to use the system.
